Your most critical system might be a person.

What happens when the person who knows the process, the exceptions, and the history is suddenly unavailable?

Start with the work that only one person knows.

Look at the close, key reports, reconciliations, system administration, and unusual transactions. Which activities depend on someone remembering a workaround, knowing who to call, or recognizing an exception? A documented procedure can still hide an undocumented judgment call. Ask where work would stop if the usual owner were unavailable for a full cycle.

Capture the process and the judgment.

Record the inputs, steps, output, deadline, and review requirements. Then capture what makes the work difficult: common exceptions, checks that catch errors, decisions that need approval, and the reasons behind them. Use examples your organization permits you to share. A useful handoff explains both what to do and when the standard procedure is not enough.

Transfer access through the right channels.

Identify the systems and permissions the backup needs. Have access provisioned through your organization’s approved process; do not share passwords or bypass controls. Confirm who can approve transactions, change configurations, or release reports. A backup who knows the procedure but cannot access the system is not yet ready to own the work.

Test the handoff before you need it.

Have the backup perform the work with the original owner available to observe and answer questions. Track the missing instructions and decisions, update the documentation, and repeat the steps that failed. If current workload leaves no room for this transition, discuss temporary coverage or project support so knowledge transfer has time, ownership, and a defined completion point.
