Before another AI tool, write a better workflow brief.
Five questions that turn an open-ended AI conversation into a project you can actually scope.
What work should change?
Choose one recurring workflow and describe its beginning and end. Examples include preparing a reporting package, collecting inputs for a forecast, or triaging exceptions. A narrowly described task is easier to scope than a request to transform finance with AI.
What is the starting point?
Record the current effort, cycle time, rework, and review steps. Identify the inputs and the systems holding them. Without a baseline, a team may find it difficult to distinguish a useful improvement from an impressive demonstration.
Who reviews the output?
Specify who owns the workflow, who approves decisions, and how exceptions are handled. Identify access requirements and the information that can be used in the relevant tools. Finance context and sound process ownership matter alongside technical capability.
What would make the pilot useful?
Define a small deliverable and how it will be evaluated. Include documentation, user adoption, and support ownership. The right person may be an automation specialist, a data professional, a finance process consultant, or a team combining those strengths.
